Who is responsible for your data

Enquiry information

The enquiry form asks for your name, email address, project type and message. You may also provide your phone number, business name, budget range, timeline, deliverables needed and how you found us. Please do not include sensitive personal information or information about other people unless it is necessary for your enquiry.

The current website form does not send or save your entries to Five Shades Productions Limited. Its on-screen acknowledgement does not confirm delivery. To send an enquiry, email us directly; this policy applies to information we receive through that correspondence.

Why we use information and our lawful basis

We use enquiry information to respond to your questions, understand your project, prepare proposals and communicate with you. Where you ask us to take steps towards a contract with you, the lawful basis is steps necessary before entering into a contract, or performance of that contract once agreed (UK GDPR Article 6(1)(b)).

For general enquiries and communications on behalf of a business, we rely on legitimate interests in responding to enquiries and managing business relationships (Article 6(1)(f)), balanced against your privacy rights. Records required by law are handled under legal obligation (Article 6(1)(c)). An enquiry is not consent to unrelated marketing.

How long information is kept

The current form does not retain enquiry entries. Information received by email is kept only for as long as needed to handle the enquiry and any resulting business relationship. A fixed retention period for unsuccessful enquiries has not yet been set; records should be reviewed and deleted when no longer needed. Contract or accounting records may need to be retained for applicable legal requirements, and relevant information may be retained where necessary for legal claims.

Access and sharing

Enquiry information should be accessed only by people who need it to handle your request. Email and other service providers may process information to provide their services. Information may also be disclosed when required by law.

Analytics cookies

If you accept analytics cookies, we use Google Analytics to understand how visitors use the site, such as pages viewed and when the enquiry form is used. When the form is used, the selected project type and budget range are recorded; your name, email, phone and message are not sent to Google Analytics. Google Analytics is not loaded unless you accept, and the lawful basis is your consent (Article 6(1)(a)). To change your choice, clear this site's stored data in your browser and you will be asked again.

Your rights and deletion requests

To request deletion of your enquiry information, email info@fiveshadesproductions.com with the subject “Data deletion request”. Include enough information to identify your correspondence, but do not send identity documents unless requested securely. We may need to verify your identity.

You may also request access, correction, restriction or portability where applicable, and object to processing based on legitimate interests. We normally respond within one month; any lawful extension will be explained. Deletion may be limited where retention is required by law or necessary for legal claims. You can complain to the UK Information Commissioner’s Office at ico.org.uk.
